VOLUNTEER LOGISTICS:

  1. Participating Clubs – The St. Louis Astronomical Society (SLAS) has arranged for the booth at the 2018 Air Show. SLAS has invited other St. Louis area astronomy clubs to participate in the exhibit to make this a “regional” exhibit for astronomy.  The following clubs have been invited to participate:

Volunteer shifts – Volunteers will be organized into “shifts” with the first shift of each day helping with morning setup, the last shift helping with end-of-day breakdown, and the middle shift purposely overlapping other shifts to provide extra coverage during the peak time of the show. Shift times are as follows:
    • Friday setup:
      • 1:00 pm – 4:00 pm
    • Saturday Main Event
      • Shift 1: 7:30 am – Noon
      • Shift 2: 10:00 am – 2:00 pm
      • Shift 3: Noon  – 6:00 pm
    • Sunday Main Event:
      • Shift 1: 7:30 am – Noon
      • Shift 2: 10:00 am – 2:00 pm
      • Shift 3: Noon  – 6:00 pm
  1. Volunteer Parking – Volunteer parking will be as follows:
    • Exhibitor parking during the main will event be in the General Parking lot
    • Exhibitors with disabilities will be able to park in the designated handicap parking in the general parking lot and we will have ADA shuttle they can use to get to the booth. 
    • One person from each exhibit will receive a 10W parking pass for each day.  Don Ficken will be taking that pass to bring in supplies each day. His vehicle will not be able to leave during the main event hours.  Based on space availability and understanding that his vehicle is not able to leave until after show hours, anyone that wants to ride along is welcome. 
  2. Volunteer Pre-registration and Check-in
    • We have been allocated 15 wristbands for volunteers. Volunteers MUST pre-register with Don Ficken to get the wristband
    • All STEM Exhibitors will need to be checked-in to receive their wristband for access for the weekend.  Volunteers may check-in on Friday during set-up.  Other people helping the exhibit that do not come on Friday, will need to check in at our "Volunteer and Exhibitor Check-In" on Saturday or Sunday when they arrive. 
    • For exhibitors working in shifts, please get there early or allow plenty of time for traffic and parking--especially around the start of the show (approx. 11AM).  

 

BOOTH LOGISTICS: 

  1. Booth Location/Size - Our booth will be reserved under the St. Louis Astronomical Society. We have a 20’ x 30’ space located in a covered tent area within the STEM EXPO area.  The STEM Expo is located in the GRE using the 10W gate (see attached map) to unload on Friday. 
  2. Booth Layout – Display tables are eight feet long. Based on current estimates, we will have ten display tables.  A preliminary allocation of tables is as follows:
    • Club specific displays (2 tables) – Each club will be allocated a four foot area set aside for club specific handouts
    • General astronomy (3 tables) – Allocated for items related to general astronomy. This display will include a collection of globes, electronic displays, etc.
    • Library Telescope “Static” Display (2 tables) – This table will include business cards and handouts to raise awareness of the library telescope program available to both patrons and educators. It will include a signup area for educators to be added to a mailing list and a chance for free giveaways for educators.
    • Meteorite Display (1 table) – Pending final delivery, this table will be allocated to display a private collection of meteorites sent to us by Dr. Mike Reynolds. Someone will be assigned to attend this table all day for security purposes.
    • Additional displays – Small tables inside the tent will be used for demonstration of library telescopes.  Weather permitting, solar telescopes will be setup outside the exhibit for public viewing.
  3. Storage - There will be a POD that will be locked each evening where we can store valuable items.  
  4. Power – We will have access to power. We will need to bring extension cords to plug into the power strips.  
  5. Setup/Breakdown – The setup times are as follows:
    • Setup on Friday, October 12th from 1:30 pm – 4:00 pm.
    • Setup on Saturday and Sunday before the show starting at 7:30 am
    • Breakdown on Sunday after 5pm
